This policy explains what Formology collects, why, who else handles it, how long it is kept, and how you control it. Formology is made by Relucent Labs LLC ("we", "us"), 12415 Tilton Trl N, Rogers, MN 55374, USA. Questions or requests: support@formology.app.
| Category | What exactly | Where it comes from |
|---|---|---|
| Account | Email address, display name, password (stored only as a one-way hash), and your Google or Apple account identifier if you sign in with them | You, or Google / Apple when you choose them |
| Profile | Date of birth, gender, height, weight, experience level, training goal, available equipment, target training days, weight unit | You, during onboarding or in Edit Profile |
| Workouts | Exercises, sets, reps, weights, effort ratings (RPE), dates and durations; per-rep form results such as joint angles at the top and bottom of a rep, rep speed, range of motion and detected form faults | Calculated by the app from the camera, or entered by you |
| Body measurements | Body weight and other measurements you log | You |
| Photos | Your profile picture and any progress photos you upload | You |
| Feedback and referrals | Messages you send us; the referral code you used or shared | You |
| Consent records | Which version of these terms, the Privacy Policy and the AI coach disclaimer you accepted, when, and from which app version and platform | The app, when you accept |
| Subscription status | Whether you have Formology Pro and its renewal state (never your card details) | Apple or Google, through RevenueCat |
| Usage analytics | Your account ID, about a dozen in-app events (such as sign-up, workout started, paywall viewed), whether you are a Pro user, and device and app information | The app, only if you allow it when asked (off until then) |
The camera. During a tracked workout the camera image is analysed on your phone to find body positions (Google ML Kit). The video is never uploaded or stored by us. Only the numbers derived from it, listed under Workouts, are sent to our servers. Exercise videos you export are saved only to your own photo library.
Face ID and fingerprint login. These are handled by your phone's operating system. The app only learns whether the check passed; we never receive biometric data.
We do not use your data to identify you from your body or face, and we do not collect precise location.
| Purpose | Data used | Legal basis |
|---|---|---|
| Run your account, count reps, score form, show history and progress | Account, profile, workouts, measurements, photos | Performing our contract with you, and your separate explicit consent for health data |
| Generate AI coaching notes | Workout figures for the set being analysed (exercise, load, reps, form score, faults, rep speed, left/right differences). No name, email or account ID is sent | Performing our contract |
| Provide Formology Pro and referral rewards | Subscription status, referral records | Performing our contract |
| Send product and marketing email | Email address, display name | Your consent (opt-in at sign-up; unsubscribe link in every email) |
| Understand and improve how the app is used | Usage analytics | Your consent: the app asks once and sends nothing until you allow it |
| Keep proof of what you agreed to, and defend legal claims | Consent records | Legitimate interests and legal claims |
| Security, abuse prevention, debugging | Server logs (requests, errors, IP address) | Legitimate interests |
We do not sell your personal data, share it for cross-context behavioural advertising, or show ads.
We use these service providers. Each processes data only to provide its service to us.
| Provider | What it does | Data it receives | Location |
|---|---|---|---|
| Google Cloud (Cloud Run, Cloud Storage, Secret Manager, Logging) | Hosts our servers and stores photos and the consent archive | All server-side data | United States |
| Neon (on Amazon Web Services) | Our database | All account, workout and consent data | United States |
| Google Gemini API | Writes AI coaching notes | Workout figures for one set, without identifiers | United States |
| RevenueCat | Manages subscriptions | Account ID, purchase and subscription status | United States |
| Amplitude | Usage analytics | Account ID, usage events, Pro status, device and app info | United States |
| Resend | Sends email | Email address, display name, email content | United States |
| Google, Apple | Optional sign-in; app store purchases | As described in their own policies | Various |
We may also disclose data if the law requires it, to protect someone's safety, or as part of a sale or merger of our business, under this policy.
| Data | Kept until |
|---|---|
| Account, profile, workouts, measurements, photos, feedback | You delete them or your account. Database backups age out within 30 days |
| Subscription record at RevenueCat | Your account is deleted. Apple and Google keep their own purchase records |
| Usage analytics | Your account is deleted: we ask Amplitude to delete it at that point, and it is gone within about two weeks. You can also ask us to delete it sooner (email support@formology.app). Turning analytics off stops anything new being sent |
| Server logs | 30 days |
| Consent records | 7 years after each acceptance, even if you delete your account. They contain your account ID, the document versions and the time you accepted, not your workouts or photos. We keep them to show what you agreed to and to defend legal claims |
Depending on where you live, you may also have the right to access, port, restrict or object to our use of your data, to withdraw consent, and to complain to your data protection authority. Email support@formology.app; we reply within 30 days. We will not treat you differently for using these rights.
Workout, body-measurement and photo data can be health information under some laws, including Washington's My Health My Data Act. We ask for your separate, explicit consent before collecting it, and use it only to provide the features you use. We never sell it, and share it only with the providers listed above. Our Consumer Health Data Notice (formology.app/legal/health-data) gives the details. You can withdraw consent at any time by deleting your account or emailing us; because tracking depends on this data, withdrawing means closing your account.
Data is encrypted in transit (HTTPS) and at rest by our hosting providers. Progress photos and profile pictures are stored privately and shown only through links that expire after one hour. No system is perfectly secure; we will notify you of a breach affecting your data as the law requires.
Formology is for people aged 16 and over. The app asks for your date of birth and does not let younger people use it. If you believe someone under 16 has given us data, email us and we will delete it.
Formology is not currently offered in the European Economic Area or the United Kingdom. Our servers are in the United States; if you use Formology from another country, your data is transferred to and stored there.
When we change this policy we update the date above. If the change is material, the app asks you to review and accept the new version before you continue, and we record that acceptance.
